The Administration Officer is responsible for providing essential administrative support to ensure the efficient operation of university departments and offices. This role involves managing day-to-day tasks, coordinating with faculty, staff, and students, and ensuring that university policies and procedures are upheld.

· Provide day-to-day administrative support to faculty, staff, and students.
· Manage office supplies, equipment, and resources, ensuring availability and functionality.
· Schedule and coordinate meetings, appointments, and events for academic and administrative departments.
· Assist in preparing agendas, minutes, and follow-up action plans for meetings.
· Prepare, maintain, and organize documents, records, and correspondence, ensuring accuracy and confidentiality.
· Update and manage databases, filing systems, and student records in accordance with university policies.
· Assist with the preparation of reports, presentations, and other documentation required by various university departments.
· Serve as the primary point of contact for internal and external inquiries related to university administration.
· Communicate effectively with students, faculty, and staff, addressing inquiries or directing them to the appropriate department.
· Coordinate between various university departments, ensuring smooth communication and workflow.
· Organize and support university events, seminars, workshops, and meetings, including arranging logistics, venues, and materials.
· Ensure timely communication and follow-up for participants in university activities and events.
· Ensure compliance with university policies and procedures in all administrative activities.
· Assist with the implementation of new policies and administrative processes as required.
· Provide guidance to staff and students on administrative policies and assist with resolving issues as they arise.
· Process purchase orders, invoices, and reimbursement requests, ensuring accuracy and adherence to financial procedures.
· Assist with special projects and initiatives that enhance the efficiency and effectiveness of administrative operations.
· Adhere to the University’s information security and confidentiality policies and procedures, and report breaches or other security risks accordingly.
· Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed.
· Demonstrate a strong commitment and practice to maintaining a safe and healthy work environment.
· Perform any other tasks assigned by the Line Manager.
